Administrative Specialist



Duties Include:

All Grades

 1.  Manage the administrative functions of Police Services/Law Enforcement
     (PS/LE), including administrative work priorities, keeping office staff
     informed of current office policy and procedures, monitoring the status of
     time-sensitive functions, and recommending changes to office methods and
     procedures.
 2.  Assist in the development of PS/LE’s fiscal year budget request and track
     expenditures in accordance with PS/LE’s approved budget.
 3.  Review vendor invoices for accuracy and ensure timely payment of invoices.
 4.  Organize, prioritize, and appropriately handle time-sensitive, confidential
     information and ensure action required is addressed in a timely manner.
 5.  Maintain office calendars (e.g., PS/LE, Assistant Sergeant at Arms, and
     Deputy Assistant Sergeant at Arms), schedule appointments, and arrange
     meetings as necessary.
 6.  Assist in developing policies related to administrative, logistical, office
     management, and communicate policies to staff.
 7.  Maintain PS/LE databases and provide updates as needed.
 8.  Track purchase card expenses and submit monthly reconciliations.
 9.  Serve as the PS/LE liaison to SAA Human Resources – onboard/offboard
     personnel, track employee leave, and ensure employee attendance at
     mandatory trainings.
 10. Sort and forward mail to division staff.
 11. Answer telephones, provide information and route calls to appropriate
     staff.
 12. Draft, review and edit correspondence (e.g., memos, quarterly reports,
     semi-annual reports, annual reports, etc.).
 13. Assist in arranging travel needs (air/hotel/ground transportation) and
     submit expense reports in a timely fashion.
 14. Manage filing systems (physical and electronic), including procedures for
     retention and disposal of records.
 15. Serve as Point of Contact or Contracting Officer’s Representative for
     purchase orders and contracts, as needed. 
 16. Submit requests for office services (e.g., furniture, repairs, phone
     support, etc.) and track service requests.
 17. Maintain office supplies and inventory.
 18. Supports House operations recovery structure.
 19. Performs other duties as assigned.

Grades 7 & 8

1.     Assist ASAA and DSAA with strategic planning, special projects, and
workforce planning.

2.     Support House security planning and operations; including event support.

                             

                



QUALIFICATIONS



                            Position Requirements

Considerations for Grades 7 & 8 will be based on education, years of experience,
ability to effectively organize and prioritize multiple simultaneous tasks, and
demonstrated ability to effectively interact with personnel in a sensitive
environment.

Work Experience and Education:

                                        Bachelor’s degree and/or equivalent work
experience. Must be able to successfully pass a criminal history records check.

Knowledge, Skills, and Abilities:

1.   Ability to thrive when there is ambiguity, remain composed when there are
priority and deadline fluctuations, and withstand the tests of a rapidly
changing environment with resilience and resolveoffice management nel with
administrative and office management requests.iture, .

2.     Excellent computer skills (e.g., MS Office suite, word processing,
presentation slides, spreadsheets, data management, etc.).

3.     Exceptional communication and organizational skills.

4.     Ability to handle confidential/sensitive information with discretion and
professionally interact with stakeholders inside and outside of the House
community.

5.   Experience with reconciling expenses, scheduling travel arrangements, and
attention to detail.

6. Demonstrated ability to prioritize and handle multiple assignments while
maintaining commitment to deadlines and long-term goals.

7.     Ability to work well under pressure, exercise discretion and sound
judgment while independently solving problems.

8.     Able to work outside of normal business hours when necessary.

9.     Knowledge of policies and procedures of the House of Representatives.

Work Schedule:

Full-time, permanent. Monday – Friday 8:30am – 5:00pm.  Work outside of normal
business hours, when necessary, evenings, and weekends may be required.

Travel

Occasional travel may be required (<10%).
