1. Acceptance of Terms
By using the EADV “Digital Products”: official website (eadv.org), dedicated
Congress or Symposium website, registration for events website, mobile app or
any services and products from our partners and suppliers, you acknowledge and
agree to these Terms of Use. We encourage you to read them carefully and, if
necessary, to seek legal advice before using the digital product and so
accepting them. EADV reserves the right to modify these terms at any time. The
latest release available on our site at the moment of your use of the website
applies.
This Terms of Use governs our relationship with users and others who interact
with EADV Digital Products (“the user”).

2. EADV Official website, Congress and Symposia websites and digital products
2.1. The Digital Products are not an attempt to practice medicine or to provide
specific medical advice. It may not be used to make a diagnosis or to replace,
overrule, integrate, second or somehow be considered in connection with a
qualified health care provider's opinion. Nor may users rely upon the Digital
Products if they need medical treatment. Use of programs on the Website does not
establish a doctor-patient relationship. Users shall consult with qualified
health care professionals for any medical needs.
2.2. Certain sections of EADV benefits and offerings are available only to
registered users or EADV members with the active status. The access might depend
on the type of user account of EADV membership type.
2.3. EADV reserves the right to add, remove, change or put temporarily on hold
any of the EADV benefits and offerings available through our Digital Products.
2.4. If you use EADV´s Digital Products on mobile devices please be aware that
your carrier´s normal rates and fees will still apply.
2.5. For the informative purposes regarding EADV activities or during
application process to EADV activities, benefits and offerings you might be
asked to submit personal information. In that case EADV processes your data
respectfully and according to clauses “Privacy Policy: 4. Use of your
information” and specific Guidelines of the EADV activities, benefits and
offerings, if these apply to the application process.
2.6. You guarantee the EADV that you are entitled to the described granting of
data and no third party rights oppose this (e.g. due to contractual
relationships with third parties or due to unclarified personal rights) and
furthermore that no statutory provisions are breached due to the contractual use
of the data. You will exempt the EADV or other authorized third parties from any
claims by third parties who wish to assert these due to a possible legal breach.


3. Registration Portal for Congresses and Symposia
3.1. In order to enroll for a conference or to enlist other services you need to
register via Registration Portal “eadvprofile.m-anage.com/eadv/ (“the Portal”)
and must enter your personal data required for the accreditation. JMT edits this
data according to valid data protection laws and the Privacy Policy published on
the Portal. You have to choose your own password. You are responsible to keep it
secure , strong (see article “5. Password Policy” below) and prevent misuse.

3.2. EADV (“The Organizer”) shall inform you about all other data needed during
the registration process. According to the offer you may apply as a lecturer by
submitting your lecture or an abstract or offer lectures, poster or e-poster for
publication during the congress and/or within digital print- or online media. In
this case the following conditions apply.

3.3. Submitting abstracts
If the Organizer offers you the possibility, you may upload to the Portal an
abstract your research, case studies and clinical findings that you wish to
present orally or as an e-poster- or online media. The same applies for
e-posters or similar publications (hereinafter together referred to as
"Abstracts"). By uploading the data you agree that the Abstract is passed on
from JMT (“provider of the Platform”) to the Organizer or the reviewing panel
assigned. If the Abstract is accepted, the Organizer may invite you to the
Congress as a lecturer; however, he is not obliged to do so.

3.4. By uploading your Content (1) to the Portal you agree to your Content being
published, duplicated, distributed and made publicly accessible non-exclusively
and royalty free on the Organizer’s websites as well as on the provider of the
Platform or other third party websites, in all print and online media or other
data services, especially in the Congress catalogue, in data carriers for
Content (e.g. DVD, CD-ROM, USB), in membership lists and on any online-portals
operated by the Organizer or authorized third parties and any publications
ensuing in connection with the Congress, wholly or partially, transferable and
unrestricted in terms of time and place.
(1) This content refers only to the abstract and not the complete presentation
slides. Should the Organiser wish, you will be asked specifically and separately
about publishing rights for your presentation or audio mastered presentation
data (webcasts).

3.5. You guarantee the provider of the Platform, the Organizer and other third
parties authorized to use your abstract and that you are entitled to the
described granting of rights and no third party rights oppose this (e.g. due to
contractual relationships with third parties or due to unclarified personal
rights) and furthermore that no statutory provisions are breached due to the
contractual use of the abstract. You will exempt the provider of the Platform,
the Organizer or other authorized third parties from any claims by third parties
who wish to assert these due to a possible legal breach.

3.6. Participation as a listener
Your participation at a Conference is subject to the conditions (dates, prices,
etc.) stated during the registration process. You can book your participation
(binding offer) at the selected Conference during the registration process by
clicking on the button "order with costs" and then "confirm booking". Before
booking, all entries will be shown to you in a confirmation window and may be
corrected by you by using the normal mouse or keyboard functions. The provider
of the Platform will pass on your accreditation and other wishes to the
Organizer provided that you have accepted the Terms of Use and Privacy Policy
published on the Platform.

3.7. The processing of payments is done through a so-called PayGate that may be
operated by a third party. For this purpose the provider of the Platform will
direct you to the relevant PayGate Portal.

3.8. A contract on the accreditation only comes into being after the payment of
the partial fee and explicit acceptance by the Organizer has taken place. In
this case you will receive an accreditation confirmation from the Organizer or
from the provider of the Platform on behalf of and by order of the Organizer.

3.9. Should a Congress be canceled or postponed the legal requirements and
regulations of the Organizer shall apply concerning any return of tickets or
other reversals of transactions.


3.10. Participation as a guest speaker
If the Organizer has invited you as a guest speaker and if you submit your
Abstract or Synopsis within this context to the Portal the regulations for the
transfer of rights and rights guarantees apply according to clauses 3.4 and 3.5.

3.11 The provider of the Platform is also liable for damages for which it is
responsible from the injury to life, body or health. A possible liability
according to the Produkthaftungsgesetz (German Product Liability Act) as well as
in the scope of § 44 a TKG (German Telecommunications Act) remains unaffected.

3.12 The provider of the Platform is only liable for all remaining damages in
the case of a breach of an essential contractual obligation, i.e. an obligation
that enables the realizationof the contract according to the rules in the first
place and in which adherence you may regularly trusts. The liability, however,
is in any case restricted to the loss with which the provider of the Platform
would have to typically reckon under the circumstances known at the time of the
conclusion of the contract.

3.13 In the case of a delay or impossibility for which the provider of the
Platform is responsible and which does not represent any essential contractual
breach, a liability on the part of the provider of the Platform is excluded if
it is merely guilty of slight negligence or the delay or impossibility is based
on force majeure or other events outside of its sphere of influence. Moreover,
the liability is restricted to the typical, foreseeable damage.

3.18 The provider of the Platform retains the right to prevent contents you made
available on the Portal and which appear questionable to the provider of the
Platform from being spread on the Portal as soon as it acquired knowledge of
this. The provider of the Platform will immediately inform you of this. The same
applies if the provider of the Platform is requested by third parties to change
or delete contents made publicly accessible online because they apparently
breach third party rights. In case you can provide evidence that a breach of
third party rights is not on hand, the provider of the Platform will, upon your
request, make the contents in question accessible again.

3.19 Right of Withdrawal
Any right of withdrawal for services of the Organizer is only possible with
regard to the Organizer.


4. Registration and removal of the Account
It might be required to register by creating an account and log in to one of the
digital Products in order to have access to the specific section of Digital
Products. In certain situation the information about creation of the account
might come from the EADV department which is in charge of the particular Digital
Product.
In consideration of your use of the Digital Products, you agree to provide true,
accurate, current and complete information about yourself as required in the
registration form. Moreover, you agree to maintain and promptly update such
information to keep it true, accurate, current and complete. According to our
Privacy Policy each registered user of the Digital Product is able to modify,
rectify, erase and transport the personal data which was shared with EADV by the
Digital Product.
Termination and removing your account
EADV´s Digital Products might offer the ability to remove the account you have
the right to contact us at any time EADV with the request by writing to
eadvoffice@eadv.org.
EADV can stop providing you all or part of Digital Products if you clearly,
seriously or repeatedly violate this statement or our Policies, including in
particular EADV statuses or if we are required to do so by law.

5. Password Policy
The user of Digital Products is entirely responsible for maintaining the
confidentiality of his/her password and account, and for any and all activities
that occur under such account. Each password and account are personal and
non-transferable.
The EADV.org website provides you with access to many exclusive features and
information, some of which are personalized and confidential. Therefore, we
remind you that your password should be strong enough to protect such data from
unwanted access and to keep it confidential.

In order to increase your password security, please create a password by
following the rules below:
1. Choose a password that no one will easily guess or hack
2. Make sure your password contains at least: 1 capital letter, 1 symbol and 1
number
3. Make sure your password is long - min 8 characters
4. Do not share your password with anybody
5. Write your password down and keep in a safe place

In the event of any controversies arising from these Terms and Conditions or
related thereto or related to the “Late abstract submission”, inclusive of
issues such as validity, nullity, violation or termination thereof, the parties
involved shall first attempt to reach a settlement. Failing this within one
month from the time when the controversy arose, the same shall be brought
exclusively before the ordinary Court at the seat of EADV. At present the seat
of EADV is in Lugano, Switzerland.

12. Payments, billing and refunds
If you make a payment on our Digital Products, you agree to the Payments Terms
delivered by the provider of the payment service unless it is stated that other
terms apply.

1. Introduction

The European Academy of Dermatology and Venerology (collectively, “EADV”, “we”,
“us” or “our”) takes very seriously and respects the importance of protecting
personal information collected from Members and other users of services. By
submitting information to the EADV you consent to the practices described in
this policy, which aim to maintain the security, integrity and privacy of any
information in accordance with the EU General Data Protection Regulation (GDPR).
If you are less than 18 years of age, then you must first seek the consent of
your parent or guardian prior to submitting any personal information.

This document describes how EADV collects and uses the personal information you
provide to us. It will also describe the choices available to you regarding our
use of your personal information as well as how you can access, update and
delete this information.

 

2. Kind of information we collect

We collect information to follow the objectives of the EADV, to provide our
benefits and offered services to our users we must process personal information.
The type of information we collect depends on how you use the EADV’s services.

 

a) Information and content you provide: We collect content, communications and
other information you provide when you use the EADVs services. This includes
when you sign up, create or share content on one of our digital services when
you apply for membership The information we collect can include: your name and
surname, email address, home and work or university address, educational and
professional interests, username and passwords, birthday and gender, phone
number, photographs, history of activity within EADV Congresses, Symposia and
courses, , information included in submitted documents (such as CV´s, diplomas,
letters, publications), history of payments, as well as information about the
content you provide (like metadata), such as the date the data was created or
physical, IP or email address from which it was delivered from.

 

b) Information about online transactions: If you make online transactions (such
us when you pay your membership fee, purchase participation at EADV Congress or
Symposium, at EADV Courses or for temporary access to the Learning Centre) the
information about the purchase or transaction is collected and stored by the
provider of the service of online transactions which is selected by EADV. We
collect information about the amount of payment, time, and personal information
of the payer.

 

3. How we collect information

EADV may collect personal information from you in the following ways:

 

a) From your written or verbal input (such as online forms with input fields and
checkboxes, letters and email correspondences, phone calls, phone messages,
photographs, voice messages, documents delivered in paper and digital versions
on various media or means of transfer);

 

b) Automatically through digital technologies including tracking online, such as
by website cookies, by smart devices or by combining data sets, by collecting
data from a browser or device, or by using algorithms and statistics to analyze
the variety of data such as records of behavior, usage, location, technology or
payments;

 

c) Information from partners. EADV might use applications and services developed
and held by our suppliers to collect your personal data. The suppliers may only
share this information with the EADV and process the data with our agreement.
Partners receive your data when you visit or use their services or through third
parties they work with. We require each of these partners to have lawful rights
to collect, use and share your data before providing any data to us. If the
ownership or control of all or part of EADV benefits and offerings or their

EADV may use your personal information in the performance of any contract and
agreement we enter into with you, to comply with legal obligations or where EADV
has a legitimate interest in using your information to enhance or fulfill EADV
membership, benefits and offerings.

- To provide you with information about the status, obligations or benefits and
offerings regarding your EADV membership;

- To administer all the EADV benefits and offerings, especially EADV membership,
EADV Courses, Project Proposal, Research Fellowship, JEADV, CME-CPD, scientific
programme, Grants and Scholarships, Congresses and Symposia and for internal
operations, notifications and reminders, including troubleshooting, data
analysis, testing, statistical and survey purposes;

- To provide you with information about events, services and organization of
EADV Congresses and Symposia;

- To allow you to participate in EADV benefits and offerings, including EADV
Courses, Project Proposal, Research Fellowship, CME-CPD, scientific programme,
Grants and Scholarships, Congresses and Symposia);

- To send you documents, publications, certificates, diplomas and other

membership, benefits and offerings or our digital services;

- To inform you about similar or entirely new EADV benefits and offerings;

- To help enhance, evaluate, develop, and create EADV websites;

- For any other purpose that we may inform you from time to time.

 

b. Communicate with you

We use the information about you to send you communications about the Academy’s
activities, services that we offer, information regarding your membership and
online account, and let you know about our policies and terms. We also use your
information to respond to you when you contact us.

 

c. Researches and academics

EADV might provide information and content to partners or academics. This is in
order to improve the functionality and experience of the EADV’s services s as
well as to support our mission and vision which is implemented through the
EADV’s benefits and offerings.

 

d. Legal requests

Information we receive about you (including financial transactions) can be
accessed and preserved for an extended period when it is the subject of a legal
request or obligation, governmental investigation, or investigation of possible
violations of our terms or policies, or otherwise to prevent harm.

 

5. Disclosure in “Register my practice”, “Membership directory” and “Event app -
messages”

When you share and communicate using sections on our website eadv.org such as
“Register Practice” and “Membership directory” you choose that the data you
shared is visible to all the users who have access to the website and therefore
it becomes public and it can be collected, disclosed, seen, accessed, reshared
or copied by others.

 

When you share and communicate using our “Event app – messages” you choose the
recipient of the message, such as participant of EADV Congress or Symposium who
is also a user of the same app.

 

6. Disclosure of sharing your information

We share information both internally within EADV and externally with our
suppliers in accordance with this policy. Information controlled by EADV is
stored and processed only inside the EU or in countries or organizations
recognized by EU Commission as providing equivalent protection to GDPR.

 

These transfers are necessary to provide the services set forth in EADV
Statutes, EADV Website Terms and Conditions and to operate and provide EADV
benefits and offerings to you.

 

We share information with law enforcement or in response to legal requests, if
we have a good-faith belief that the law requires us to do so. We can also
respond to legal requests when we have a good-faith belief that the response is
required by law, affects users, and is consistent with internationally
recognized standards.

 

7. Cross borders transfers

We share information both internally within EADV offices and externally with our
suppliers and partners. Information controlled by EADV will be stored in EU for
the purposes as described in this policy. In case of international transfers,
which are necessary to provide the services set forth in EADV terms and
conditions and to operate and provide EADV benefits and offerings, we utilize
standard contractual clauses approved by the European Commission and rely on the
European Commission´s adequacy about certain countries, as applicable, for data
transfers from the EEA to the United States and other countries.

EADV applies various physical, technical and administrative safeguards in order
to keep the collected data safe and protected. All personal information is
subject to restricted access to prevent unauthorized access, modification or
misuse. EADV does not share the data to people, partners and suppliers who are
not directly involved in the data processing. Access to your personal data is
restricted only to those who need it in order to perform their job.

 

9. Cookies

Website cookies are small text files created by websites and other digital
services, that are stored on your computer or digital device.

We collect information from and about computers, phones, TVs and other
web-connected devices you use to integrate with our digital services. This
information may include IP addresses, browser type, operating system, Internet
Service Provider, referring and exit pages, the files viewed on our websites,
operating system, movements around the website, date and time, geographic and
demographic information.

Cookies do not carry any personally identifiable information and represent your
use of our digital services to analyze trends, better administer the website and
improve your user experience on digital services that belong to the EADV.
Cookies are used to recognize you on your next visit or while creating a profile
or submitting an online form. Our partners and suppliers might use the same
cookies or similar technologies for the same purposes.

Your browser should allow you to control and stop cookies usage, but keep in
mind that disabling cookies might limit or change the usage of our digital

10. Links to third party websites

EADV websites and digital services might provide links to third-parties
websites, which do not belong to our partners or suppliers, and with the content
end methods of collecting data about their users which are independent from us.
In case of using these links, be aware that this kind of third-party websites
are not a subject to this privacy policy and EADV does not take responsibility
for their privacy policy and methods of collecting and processing personal data.

 

11. Your rights

Under GDPR you have the right to access, modify, and erase your data.  You can
modify data directly on your online profile (by checking certain boxes or
changing text in input fields) of our digital services. You can also use your
right to contact us any time with a written request regarding any action of
information concerning your personal information (by email to
membership@eadv.org), such as:

- Providing you details of your personal information with the purpose for
processing;

- Rectify errors;

- Delete your personal information;

- Transferring your personal information to a third party.

 

12. Data retention, account deactivation and deletion

We store your data as long as it is required by legal and governmental
institutions and until it is no longer necessary to provide our services or
until your membership is deleted – whichever comes first. This is a case-by-case
determination that depends on things like why it is collected and processed,
operational needs described in EADV Statutes.

We keep copies of ID or passport only for the purpose and time necessary to
verify your personal information submitted during application process and it is
being kept no longer than 30 days (starting from the reception of the document).
After the deletion you will not be able to recover that information.

When you ask for your data to be deleted, we delete information and documents
you provided (including photos related to your profile, copies of documents) and
you will not be able to recover the information at a later stage. Information
that others have about you (“Register my practice”) is not part of your account
and will not be deleted. If you do not want to delete your account but want to
temporarily stop using the EADV’s benefits and offerings, you can deactivate
your membership. To get full information about your personal data which you
shared with the EADV, please contact us at any time by writing to
membership@eadv.org.

 

13. What is our legal basis for processing the data?

We collect, use and share the data that we have in the ways described above:

- as necessary to fulfill our EADV Terms of Use;

- consistent with your consent, which you may revoke at any time by contacting
membership@eadv.org;

- as necessary to comply with our legal obligations;

- to protect our vital interests, or those of others;

- as necessary in the public interest.

 

14. Changes to this Privacy Policy

EADV reserves itself the right to modify this Privacy Policy at any time and
without notice. We will notify you before we make changes to this policy and
give you the opportunity to review the revised policy before you choose to
continue using our services.

You also have right to file a complaint with EADV lead supervisory authority,
